The office environment, as a workplace, is the nerve centre of an organisation, where information is gathered, stored and communicated to colleagues in a timely and effective manner, in a way that works for them. The particular work of any one administrator can vary greatly within organisations and in different organisations that have different structures and different cultures.
This module aims to develop an understanding of the key concepts, theories and practices required to effectively and efficiently manage an office environment.
Learning Outcomes
On completion of this module the learner will/should be able to;
Describe the characteristics of a good administrator and the broad range of administrative duties
Discuss the importance of the organising function for the administrative manager
Describe the importance of GDPR, Data Protection and an efficient manual records management system
Evaluate the importance of professional business communications
Recognise the importance of office layout and environment and how this can impact on employee performance
Teaching and Learning Strategies
Universal Design for Learning (UDL) is incorporated into the teaching and learning strategies. The teaching materials on the moodle page are accessible in alternative formats including audio, HTLM, ePub. A combination of Lecturers, Tutorials, In-class discussion, Presentations, Peer teaching, Role play, Case studies and Online resources are used.
Module Assessment Strategies
Continuous Assessment (100%) (formative and summative):
- Role play,
- Case studies,
- Individual and/or group projects,
- Class tests,
- Multiple Choice Questions.
Universal Design for Learning (UDL) is incorporated into the teaching and learning strategies. Students are presented with a bank of assignment topics which they choose from. All learning outcomes are assessed once, but not more than twice. Rubrics and marking schemes are available prior to any continuous assessment.
Repeat Assessments
Reassessment of this module will consist of repeat coursework.
Indicative Syllabus
1. Administrative Functions and Duties (LO1):
- Importance of the office and it's role as a sub-system within an organisation;
- The roles, skills and responsibilities of administrators
- Career paths, Skills needed at various levels;
- The challenges facing administrators (including working to deadlines in a team environment);
- Personal characteristics (including precision, self reliance, good judgement, initiative, flexibility/ adaptability);
- Managing Equality, Diversity and Inclusion;
- Appreciate the range of regularly occurring administrative tasks and duties;
- Appreciate the particular range of front office/receptionists' duties.
2. The Importance of the Organisation and the Organising Function (LO2):
- The importance of the Organisation's structure, configuration, operation, recent trends in organisational design;
- The role of organising in improving office productivity;
- Appreciate the importance of Work Wellbeing and Dignity in a workplace.
3. GDPR, Data Protection and Manual Records Management Systems (LO3):
- Apply skills in the design and delivery of a manual filing system;
- Compare and contrast sorting methods;
- The implications of GDPR and Data Protection.
4. Professional Business Communications Methods (LO4):
- Appreciate the importance of the office as an information processing unit;
- Appraise various communication methods, when it is appropriate to use each method, how to share understanding;
- To plan and execute effective in-person and virtual meetings, taking into consideration the different types of meetings, convening meetings, documentation and duties & responsibilities of participants in both virtual and physical spaces.
5. Office Layout and Environment (LO5):
- Appreciate the importance of office layout, including design, equipment and designing for new work practices;
- Be aware of the impact of the office environment on employees' performance (e.g. green office movement, health and safety [including sick office syndrome]);
- Hybrid and/or Remote working (including supervision and motivation, daily/weekly scheduling, the security of home and/ or hub working).
